Managing Reservations
View and track every reservation from the reservations table.
The reservation list in your dashboard shows all bookings for the selected date. Use it to search for a specific booking, review guest details, and access historical data across any date.
Table columns#
- Date
- The date of the reservation.
- Time
- The slot start time, shown in your restaurant's local timezone.
- Customer
- Guest name and phone number.
- Party Size
- Number of guests in the booking.
- Occasion
- Special occasion the guest selected at booking time, if any (e.g. Birthday, Anniversary).
- Special Requests
- Free-text requests entered by the guest at booking time. Truncated in the table — click the row to read the full text. Shown on desktop only.
- Source
- How the booking was made: Online (guest self-booked), Manual (added by you), or POS. Shown on desktop only.
- Status
- Current booking status: Pending, Checked in, Cancelled, or No show.
- Booking Ref
- Unique reference code for the booking (e.g. XJ4KR2). Shown on desktop only.
- Actions
- Icon buttons to check in, cancel, mark as no-show, or revert a booking to pending.
Status indicators#
Each reservation displays a colour-coded status badge:
- Pending
- Booking is active and the guest has not yet arrived.
- Checked in
- Guest has arrived and been marked in by you.
- Cancelled
- Booking was cancelled — by you, via the API, or by the guest using their cancellation link.
- No show
- Guest did not arrive and was marked as a no-show by you.
Special requests & occasion notes#
Click anywhere on a reservation row to open the full booking details. The detail view shows all guest information, the full special requests text, and occasion notes alongside the booking reference and history.
Special requests
Special requests are free-text notes the guest wrote at booking time — for example, dietary needs, a seating preference, or an accessibility requirement. The text is truncated in the table; open the row to read it in full.
Occasion notes
Guests can optionally mark a booking as a special occasion (e.g. Birthday, Anniversary) and add a personal note — for example, "Surprise party, please don't mention." The occasion label appears in the Occasion column. The note is visible when you open the booking details. Both are included in your merchant alert so you can prepare in advance.
Mobile view#
On smaller screens the table switches to a card layout — one card per reservation. Each card shows the booking time, date, guest name, party size, source, and booking reference. Tap anywhere on a card to open the full booking details. To take an action (Check in, Cancel, No show), tap the ⋮ menu button on the card to reveal the action options.
